How we handle your information.

Allegiance Title Agency, LLC takes privacy seriously. This policy describes what personal information we collect, how we use it, and how we protect it. Effective date: April 28, 2026.

Information we collect

When you work with us for title search, title insurance, or closing services, we collect the personal information necessary to complete that work. This includes:

  • Full legal names and contact information (address, phone, email) for all parties to the transaction
  • Property address and legal description
  • Financial information including purchase price, loan amounts, and payoff figures
  • Government-issued identification for identity verification at signing
  • Social security numbers when required by law, including IRS 1099-S filings for real estate proceeds and other federal reporting obligations
  • Lender and lienholder information

We collect this information directly from you, from your real estate agent, from your lender, and from public records in the ordinary course of title work.


How we use your information

We use the information we collect solely to:

  • Perform title search, examination, and insurance services for your transaction
  • Coordinate closing logistics and communicate with all parties
  • Prepare, execute, and record closing documents
  • Comply with legal and regulatory reporting obligations including IRS 1099-S filings
  • Detect and prevent fraud, including wire fraud and identity fraud
  • Respond to your questions, requests, or disputes about a completed transaction

We do not use your information for marketing purposes without your consent, and we do not sell your information to third parties under any circumstances.


Information sharing

We share your information only as necessary to complete your transaction or as required by law. This includes sharing with:

  • Our underwriter, First American Title Insurance Company, for policy issuance
  • Mortgage lenders and lienholders for payoff and funding coordination
  • County Registers of Deeds for deed and mortgage recording
  • The Internal Revenue Service for required 1099-S and other filings
  • Your real estate agent and the cooperating agent, when authorized by you
  • Service providers including document couriers and recording services, under written confidentiality agreements

We do not sell, rent, or trade your personal information. We do not share it for third-party marketing. We will disclose information if required to do so by law, subpoena, or court order.


Gramm-Leach-Bliley Act (GLBA)

As a financial services company regulated under the Gramm-Leach-Bliley Act, Allegiance Title Agency, LLC is required to protect the nonpublic personal information (NPI) of our customers.

We have implemented administrative, technical, and physical safeguards designed to protect your NPI against unauthorized access, disclosure, or misuse. These include:

  • Secure encrypted delivery of wire instructions through a portal with multi-factor authentication
  • Access controls limiting NPI to staff who need it to perform their job functions
  • Physical security for paper records containing personal information
  • Vendor agreements requiring confidentiality of any NPI shared for service purposes
  • Regular review of security practices in accordance with the FTC Safeguards Rule

Data retention

Title and closing records are retained in accordance with requirements set by the Michigan Department of Insurance and Financial Services (DIFS) and our underwriting agreement with First American. In practice, this means:

  • Closing files and title records are generally retained for a minimum of seven years from the closing date
  • IRS reporting records are retained for the period required by federal law
  • Electronic and paper records are stored securely for the required retention period and disposed of responsibly thereafter

Your rights

You have the right to:

  • Request a copy of the personal information we hold about you. Contact customerservice@miallegiancetitle.com to make this request.
  • Request correction of inaccurate information in your transaction file
  • Opt out of any marketing communications from us (note: transactional communications related to your closing cannot be opted out of while your transaction is open)
  • Ask questions about how your information is used

We will respond to written requests within a reasonable time. We may need to verify your identity before releasing information.
